Summary

This position is primarily responsible for performing routine clerical and administrative functions such as organizing and maintaining paper and electronic files, data entry, and routine errands.

Essential Duties and Responsibilities

Core duties and responsibilities include the following. Other duties may be assigned.

  1. Operates office equipment such as fax machines, copiers, and phone systems, and use computers for spreadsheet, word processing, database management, and other applications.
  2. Answers telephones and give information to callers, take messages, or transfer calls to appropriate individuals.
  3. Greets callers, handle their inquiries, and direct them to the appropriate persons according to their needs.
  4. Sets up and maintain paper and electronic filing systems for records, correspondence, and other material.
  5. Locates and attaches appropriate files to incoming correspondence requiring replies.
  6. Opens, reads, routes, and distributes incoming mail and other material and answer routine letters.
  7. Makes copies of correspondence and other printed material.
  8. Enters vendor invoices into the accounting and order system.
  9. Enters credit card payments into the accounting and order system.
  10. Reviews work done by others to check for correct spelling and grammar, ensure that company format policies are followed, and recommend revisions.
  11. Handles all customer credit applications.

Qualifications:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.   1. EDUCATION AND/OR EXPERIENCE:
    One year certificate from college or technical school; or three to six months related experience and/or training; or equivalent combination of education and experience.
  2. LANGUAGE SKILLS:
    Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
  3. MATHEMATICAL SKILLS:
    Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
  4. REASONING ABILITY:
    Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
  5. COMPUTER SKILLS:
    To perform this job successfully, an individual should have knowledge of Database software; Internet software; Inventory software; Order Processing systems; Spreadsheet software and Word Processing software.

    Types 60-65 WPM
